The short version. BaudIQ answers calls, takes bookings and collects deposits for service businesses. To do that we handle names, phone numbers, appointment details and payment records.
We use that information to run the service. We do not sell it, and we do not use it for advertising.
Who this policy covers
BaudIQ is operated from Ottawa, Ontario, Canada. This policy covers three groups of people:
- Business owners and staff who sign up for BaudIQ and use the dashboard.
- Customers of those businesses who call, text or book online with a business that uses BaudIQ.
- Visitors to baudiq.com.
If you booked an appointment with a business through BaudIQ, that business decides what is collected and why. We handle your information on its behalf. You can contact either the business or us about it.
What we collect
If you run a business on BaudIQ
- Your name, business name, phone number, email address and city.
- Your business address, hours, services, prices and deposit rules.
- Names and phone numbers of the staff you add.
- Photos you upload for your booking page.
- Your subscription status. Card details for your subscription are entered on Stripe's pages and never reach our servers.
If you book with a business that uses BaudIQ
- Your name and phone number.
- Your appointments: the service, date, time and staff member, plus any changes or cancellations.
- Your visit history with that business, such as how many times you have booked and the day and time you usually come in.
- Waitlist requests you make.
- Payment records: the amount, the method (card, Interac e-Transfer or cash) and whether a deposit or balance was paid. We do not see or store your card number.
- Text messages you exchange with the business's BaudIQ number.
If you phone a business that uses BaudIQ
Calls may be answered by an AI assistant, and calls may be recorded and transcribed. For each call we keep the caller's phone number, the start and end time, the duration, whether a booking was made and a link to the recording.
If you visit baudiq.com
- An email address, if you ask us to send you something or join our mailing list.
- Usage information on our marketing pages, sign-up page and blog: the pages you view, the buttons you click, your browser and device type, and your approximate location based on IP address. This is collected through PostHog, an analytics service, which uses cookies or similar browser storage.
- The dashboard keeps a small amount of data in your browser to keep you signed in and remember your preferences.
How we use it
- To answer calls, check availability, and create, change or cancel bookings.
- To send booking confirmations, reminders, deposit and balance payment links, and waitlist notices by text message.
- To process deposits and payments and keep an accurate record of them for the business.
- To show business owners and staff their schedule, their customers and their revenue.
- To bill businesses for their BaudIQ subscription.
- To send account and service emails to business owners.
- To fix problems, prevent abuse and improve the service.
We do not sell personal information. We do not share it with advertisers.
Text messages
If you book with a business that uses BaudIQ, you will receive text messages about that booking. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. If you opt out, the business can no longer send you confirmations or reminders by text.
Who we share it with
We share personal information with the business you booked with, and with the service providers that run parts of BaudIQ for us. Each provider receives only what it needs for its job.
| Provider | What it does for us |
|---|---|
| Twilio | Phone numbers, calls and text messages |
| Vapi | The AI voice assistant, including call recording and transcription |
| Stripe | Card payments and subscription billing |
| Resend | Email delivery |
| Railway | Hosting for our application and database |
| Cloudflare | Storage for photos that businesses upload |
| PostHog | Website analytics |
| Calendly | Scheduling demo calls with us |
| Anthropic | Writing a short tagline for a business's booking page, from its name, city and service list |
| Telegram | Internal alerts to our own team about sign-ups and billing events |
Interac e-Transfer payments go directly from the customer to the business. BaudIQ records that the payment was requested and received, but the transfer itself does not pass through us.
We may also disclose information if the law requires it, or if BaudIQ is sold or merged, in which case this policy continues to apply to the information transferred.
Where it is stored
Several of the providers above are located in the United States, so personal information may be stored and processed outside Canada. While it is there, it is subject to the laws of that country, including lawful access by its courts and authorities.
How long we keep it
We keep a business's information, and its customers' booking and payment records, for as long as the business has an account with us. When a business closes its account, we delete its data on request, except for records we must keep for tax, accounting or legal reasons.
You can ask us to delete your information sooner. See "Your rights" below.
How we protect it
- All traffic to baudiq.com is encrypted in transit.
- The dashboard is restricted to the business's owner and staff, who sign in with a private access code.
- Card details are handled by Stripe and never stored on our servers.
- Access to production systems is limited to the people who need it to run the service.
No system is perfectly secure. If a breach creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada, as the law requires.
Your rights
Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you can:
- Ask what personal information we hold about you and get a copy of it.
- Ask us to correct information that is wrong.
- Withdraw your consent and ask us to delete your information, subject to legal and contractual limits.

Children
BaudIQ is a tool for businesses. It is not directed at children, and we do not knowingly collect information from anyone under 13 except as part of a booking made by a parent or guardian.
Changes to this policy
If we change this policy, we will update the effective date at the top of this page. If a change materially affects how we use information we already hold, we will tell business owners by email before it takes effect.
